AI AUTOMATIONS / SCALE

AI & Workflow Automation.

Spend less time on repetitive work.

Stop copying enquiries between WhatsApp, spreadsheets and customer records. We connect your tools so leads reach the right person, follow-ups stay visible and routine updates take less work. Where useful, AI can help summarise requests or prepare a draft for your team.

THE BASICS

What is AI Automations?

Automation handles an agreed sequence of tasks when something happens. For example, a new enquiry can create a customer record and a follow-up task. Simple rules handle predictable steps; AI can help with tasks such as summarising a long message. Your team stays responsible for quotes, exceptions and decisions that need judgement.

WHAT WE DO

What’s included?

These are the areas we can help with. We agree on what your business needs before starting the work.

01

Process and opportunity mapping

Document the current workflow, inputs, owners and exceptions. Identify which steps should be automated and which still need judgment.

02

Lead routing and tool connections

Connect agreed forms, CRM fields and notifications through supported APIs or integration tools. Define ownership, duplicate handling and the information each step requires.

03

AI-assisted workflow steps

Use AI for suitable classification, extraction or drafting tasks. Define acceptable outputs and review points rather than allowing generated content to trigger consequential actions unchecked.

04

Reliability and oversight

Plan validation, retries, error notifications and a manual fallback. Limit permissions and data access to the workflow’s needs and document how the automation can be paused.

LESS CHASING. MORE TIME FOR CUSTOMERS.

Your tools should share the work.

A customer fills in a form. Their details reach your CRM. The right person gets a task. The customer gets an appropriate acknowledgement. That is a useful first automation.

We start with the tools you already use and fix one repeatable process before adding more.

Explore the tool options

EXAMPLE / FROM ENQUIRY TO FOLLOW-UP

One enquiry. A clear next step.

  1. Enquiry received

A website form or customer message.

  2. Check & route

Validate the details and match the service.

  3. Update the CRM

Create or update the contact and assign an owner.

  4. Follow up

Notify the team and send an eligible acknowledgement.

Missing details or an unsuccessful step? Flag it for a person to review. This is an example workflow; the exact connections depend on your tools and account access.

TOOLS WE CAN BUILD AROUND

Choose the tool for the job.

These are practical options to consider for a small business. You do not need all of them. We compare your current setup, monthly running costs, integrations and the time your team can give to maintaining the process.

01 / CONNECT YOUR APPS

Move information without copying it.

A form, spreadsheet, inbox and CRM can work together. Choose the connector around the steps you need and who will maintain them.

n8n

Custom workflows with several steps

Connect apps and APIs, check incoming data and branch the workflow when different enquiries need different actions.

Example & what to check

A useful setup: A quote request becomes a CRM record, goes to the right salesperson and creates a follow-up task.

Best considered when the workflow needs flexibility. We agree who manages hosting, updates and failed runs.

Make

Visual workflows across your tools

Build connected scenarios with filters and separate paths for different types of records or requests.

Example & what to check

A useful setup: An order triggers an internal task and updates the team’s fulfilment sheet through supported connections.

Check the required integrations and usage cost at your expected volume.

Zapier

Straightforward connections between apps

Link common business apps so an event in one starts agreed actions in the others.

Example & what to check

A useful setup: A website enquiry creates a contact, a task and a notification without three separate entries.

A good starting point for simpler processes. Multi-step workflows and app access depend on the plan.

02 / WHATSAPP AUTOMATION

Keep conversations moving.

When several people answer the same business number, it gets harder to know who replied and what happens next. These platforms help organise that work.

Wati

Shared inbox, routing and chat flows

Bring customer conversations into a team inbox, collect routine details and hand the conversation to a person when needed.

Example & what to check

A useful setup: Ask which service a customer needs, collect their area and send the enquiry to the right coordinator.

We check team seats, CRM connections and message costs before recommending a plan.

Interakt

WhatsApp sales and online stores

Manage leads and customer conversations, with catalogue connections for supported commerce platforms such as Shopify and WooCommerce.

Example & what to check

A useful setup: Keep a product enquiry, its sales owner and the next follow-up visible to the team.

Check store compatibility and the exact order events or catalogue data that can be connected.

AiSensy

WhatsApp campaigns and chatbot flows

Plan opt-in campaigns and chatbot journeys that collect details and help customers reach the right next step.

Example & what to check

A useful setup: A customer asks about a course or service, answers a few questions and reaches your sales team with useful context.

Choose around your messaging needs, team workflow and available integrations—not broadcasts alone.

03 / CRM & FOLLOW-UP

Know who needs a follow-up.

A CRM is your shared customer record: who asked, what they need, who owns the enquiry and what happens next.

Bigin by Zoho

A clear pipeline for a small team

Track enquiries through stages, create follow-up tasks and keep customer conversations connected to the record. Bigin also offers WhatsApp integration.

Example & what to check

A useful setup: Move an enquiry from “New” to “Quote sent”, then create a reminder for the person handling it.

Start here when you need a manageable sales process. Check workflow and messaging features in the selected edition.

HubSpot

Customer records shared across teams

Bring contacts, deals and customer activity into one place, then add automation where the selected subscription supports it.

Example & what to check

A useful setup: Keep a form enquiry and the sales follow-up attached to the same contact instead of separate spreadsheets.

The free CRM and paid automation features have different scopes. We check seats and feature costs before you commit.

Tool names and logos identify the products discussed; they do not imply a partnership. Product links above lead to the providers’ current information. Features, integrations and subscription requirements are checked during scoping.

A USEFUL WHATSAPP SETUP

Helpful replies. Easy human handover.

We plan the welcome message, questions, routing and handover together. Customers should be able to reach your team when a request needs judgement, a custom quote or a change to an order.

For business-initiated messages, we plan around customer opt-in and approved templates where required. We also check the WhatsApp Business Platform setup, provider fees and message charges before launch.

About the WhatsApp Business Platform

WHERE TO START

Pick the task that slows you down.

Choose a business need to see a practical first workflow.

Service enquiries

THE PROBLEM

Enquiries sit in WhatsApp while staff are busy with jobs.

WHAT WE CONNECT

Capture the service and area, create a customer record and assign a follow-up. Escalate anything the flow cannot answer.

What should improve: Fewer missed enquiries; measure response time and booked jobs.

Bookings & appointments

THE PROBLEM

Customers forget appointments and staff repeat the same reminders.

WHAT WE CONNECT

Connect confirmed bookings to permitted reminders, with a clear way to reschedule or reach your team.

What should improve: Less chasing; compare attendance and time spent confirming bookings.

D2C & online orders

THE PROBLEM

Staff look up order information repeatedly to answer routine questions.

WHAT WE CONNECT

Connect supported order events to customer updates and route delivery exceptions to a person.

What should improve: Fewer status enquiries; track successful updates and unresolved issues.

B2B quotes & suppliers

THE PROBLEM

Quote requests are scattered across email, forms and spreadsheets.

WHAT WE CONNECT

Collect specifications, assign an owner and create reminders while your team prepares and approves the quotation.

What should improve: More complete handoffs; measure quote turnaround and overdue follow-ups.

Admin & reporting

THE PROBLEM

Someone rebuilds the same task list or report every week.

WHAT WE CONNECT

Bring agreed records into a scheduled summary and flag missing or conflicting data for review.

What should improve: Less repeated entry; compare preparation time and corrections.

Let’s map your first workflow

BUILT AROUND YOUR BUSINESS

Fix a repeated task before adding another tool.

Useful automation starts with a specific problem: a missed enquiry, repeated data entry or time spent preparing the same information. We choose rules or AI according to the task.

  1. 01Map the task
  2. 02Connect the right tools
  3. 03Check exceptions
  4. 04Measure time saved

Get enquiries to the right person

THE PROBLEM

Enquiries arrive through different forms or inboxes. Someone has to copy the details and decide who should follow up, and some requests get missed.

WHAT WE DO

Connect the agreed sources to your customer records. Route enquiries by service, location or another clear rule, check for duplicates and notify the responsible person.

The result we work towards

New enquiries have an owner and a visible next step. Your team can spend more time responding and less time moving details between tools.

How we check: Time to assign an enquiry, missed handoffs and exceptions needing manual attention.

Reduce repeated admin work

THE PROBLEM

Staff copy information between spreadsheets, forms and business systems. Small mistakes can lead to extra checking or inconsistent records.

WHAT WE DO

Map the required fields and connect supported systems. Validate inputs and keep an exception queue for incomplete or conflicting information instead of silently accepting it.

The result we work towards

Reduce repeated entry and make records easier to keep consistent. Give staff a clear way to handle the cases that still need judgment.

How we check: Time per task, corrections required and successfully completed updates.

Use AI where interpretation helps

THE PROBLEM

Reading long enquiries or preparing routine summaries takes time, but the business still needs someone to check the details.

WHAT WE DO

Use AI to draft summaries, suggest categories or prepare a response for review where appropriate. Define what information it can access and when a person must approve the output.

The result we work towards

Staff start with an organized draft rather than a blank page. Important decisions and external actions keep their agreed review steps.

How we check: Review time, correction rate and operating cost. A draft is not treated as an approved response.

PRACTICAL INDUSTRY EXAMPLES

Different businesses.
Different priorities.

These examples show how we would tailor the work. The final recommendation depends on your business, starting point and budget.

Home Services & HVAC

Route job enquiries by location and service, then notify the right coordinator.

Business goal: Faster assignment and fewer overlooked jobs.

Industrial, Manufacturing & Suppliers

Organize quote requests and pass specifications to the responsible sales team.

Business goal: Less sorting and more complete handoffs.

D2C & eCommerce

Connect agreed order or support information between systems, with exception handling.

Business goal: Less repeated admin and more consistent records.

Hospitality & Import/Export

Prepare booking-enquiry summaries or organize trade-request details for staff to check.

Business goal: Quicker preparation without removing necessary review.

Discuss what fits your business

HOW WE WORK

How the work gets done.

  1. 01

    Map the real process

Follow one task from beginning to end. Establish the time spent, expected output, data involved and common failure cases.

  2. 02

    Build a bounded pilot

Implement a small workflow with representative test inputs and agreed review steps. Confirm it handles invalid or incomplete data deliberately.

  3. 03

    Monitor and extend

Review successful runs, exceptions and time saved. Extend the workflow only when the first version is dependable and its owner can maintain it.

MEASUREMENT

How we track results.

Measure time saved against the original process, response time, completion rate and exceptions requiring intervention. Include tool and model costs so the apparent efficiency gain reflects the actual operating cost.

BEFORE WE START

What to share with us.

Bring one repetitive workflow, the tools it touches, example inputs without unnecessary personal data and the person who owns the process. We can assess integration options and define a sensible pilot.

03 / COMMON QUESTIONS

More about
AI Automations.

Does every automation need AI?

No. Rules-based automation is often simpler and more predictable. AI is useful where interpreting variable text or generating a draft adds value and its output can be checked.

Can you connect our existing CRM and forms?

Feasibility depends on available APIs, account permissions and the workflow requirements. We review these before committing to a specific integration.

What happens when the automation fails?

The agreed design should include error handling, notifications and a manual route for unresolved cases. A failed step should not silently become a successful business action.

Will AI send messages or make decisions automatically?

That depends on the explicitly agreed scope. External messages and consequential decisions should have defined authorization and review requirements. Drafting a response and sending it are separate actions.
